1. Student Admission and Registration Policy

Purpose

This policy explains how students are registered, verified, and admitted to use the NHE Tutor App and related learning services.

Policy Statement

New High Education is committed to providing fair, safe, and organised access to its learning platform. All students must be properly registered and approved before accessing restricted learning features.

Registration Requirements

Students may be required to provide:

  • Full name
  • Email address
  • Ghana mobile number
  • Date of birth, where required
  • School level or class
  • Parent or guardian details, where applicable
  • Any other information needed for account verification

Student ID

After successful verification and approval, New High Education may issue a unique student ID in the format:

NHEXXXXX

This ID must be used for login, student identification, support requests, and account verification.

Approval

Student accounts may be approved manually by an authorised administrator. New High Education reserves the right to reject, suspend, or delay approval where information is incomplete, false, unverifiable, or suspicious.

Student Responsibility

Students must provide accurate information and must not register using another person’s details.


2. Parent and Guardian Registration Policy

Purpose

This policy explains how parents and guardians may register and connect with student accounts.

Policy Statement

New High Education recognises the important role of parents and guardians in supporting student learning. Parent or guardian accounts are provided to help monitor, support, and manage a student’s access where appropriate.

Parent ID

Approved parents or guardians may be issued a unique parent ID in the format:

Parent Access

Parents may be allowed to:

  • View linked student account details
  • Receive learning updates
  • Communicate with New High Education
  • Request support
  • Help manage student account concerns
  • Make enquiries about student access or progress

Verification

New High Education may request verification before linking a parent or guardian to a student account. This is to protect students and prevent unauthorised access.

Limitations

Parents do not automatically receive access to all student AI tutor interactions unless New High Education enables it and it is lawful, appropriate, and in the student's best interest.

 

3. Anti-Bullying and Respectful Communication Policy

Purpose

This policy helps create a safe, respectful, and supportive online learning environment.

Policy Statement

New High Education does not tolerate bullying, harassment, intimidation, discrimination, or abusive communication.

Bullying May Include

  • Insults or name-calling
  • Threats
  • Repeated teasing or humiliation
  • Spreading false information
  • Cyberbullying
  • Excluding or targeting others unfairly
  • Sharing embarrassing or private information
  • Abusive messages or comments

User Responsibilities

All users must communicate politely and respectfully. Disagreements must be handled calmly and without personal attacks.

Action Against Bullying

New High Education may:

  • Remove harmful content
  • Warn the user
  • Restrict communication features
  • Suspend or terminate accounts
  • Notify parents, guardians, schools, or authorities where necessary


4. Teacher and Staff Code of Conduct Policy

Purpose

This policy sets out the professional behaviour expected from teachers, admins, and any staff supporting the NHE Tutor App.

Policy Statement

Teachers, admins, and staff must act professionally, fairly, respectfully, and in the best interest of students.

Expected Conduct

Teachers and staff must:

  • Treat students with dignity and respect
  • Provide educational support professionally
  • Protect student information
  • Avoid favouritism, discrimination, or abuse of authority
  • Communicate through approved channels
  • Report safeguarding concerns
  • Follow New High Education’s policies and procedures
  • Use platform access only for authorised duties

Prohibited Conduct

Teachers and staff must not:

  • Share student data without permission
  • Contact students for inappropriate personal reasons
  • Use abusive, sexual, threatening, or humiliating language
  • Request gifts, money, or favours from students or parents
  • Misuse admin privileges
  • Alter records dishonestly
  • Ignore safeguarding concerns
  • Use the platform for personal, political, religious, or commercial promotion without permission

Disciplinary Action

Breaches may lead to access removal, internal disciplinary action, termination of role, or referral to relevant authorities.


5. Attendance and Learning Participation Policy

Purpose

This policy encourages regular student engagement with the NHE Tutor App.

Policy Statement

Students are encouraged to use the platform consistently and responsibly to improve learning outcomes.

Learning Participation May Include

  • Logging in regularly
  • Asking subject-related questions
  • Reviewing AI tutor explanations
  • Completing assigned learning tasks
  • Participating in approved teacher-led activities
  • Following recommended study guidance

Non-Participation

Where a student does not use the platform for a long period, New High Education may send reminders, notify the parent or guardian, or review account status.

No Guarantee of Academic Performance

New High Education provides learning support but does not guarantee examination results, grades, or academic performance. Student success depends on effort, school instruction, revision, discipline, and other factors.


6. Assessment and Academic Integrity Policy

Purpose

This policy promotes honesty in learning, assignments, tests, and examinations.

Policy Statement

Students must use the NHE Tutor App to improve understanding, not to cheat or misrepresent work.

Academic Integrity Means

Students must:

  • Submit their own work
  • Use AI explanations as learning support
  • Avoid copying answers without understanding
  • Follow school and examination rules
  • Be honest about sources of help

Academic Misconduct Includes

  • Using AI to complete assignments dishonestly
  • Submitting AI-generated work as fully personal work where this is not allowed
  • Sharing answers during tests
  • Using the platform to bypass school rules
  • Pretending to understand work that was copied directly

New High Education’s Role

New High Education may provide guidance to students on responsible AI use. Where serious misuse occurs, the platform may restrict access or notify relevant parents, guardians, teachers, or administrators.


7. Data Protection and Confidentiality Policy

Purpose

This policy explains how New High Education protects user data.

Policy Statement

New High Education will handle personal data responsibly and in accordance with Ghana’s Data Protection Act, 2012 (Act 843). Ghana’s Data Protection Act covers personal data and includes provisions relating to the educational records of pupils. (nita.gov.gh)

Responsibilities

  • Report data breaches or suspicious access immediately
  • Use secure devices and passwords

Data Breach Response

Where New High Education becomes aware of a data breach, it will take reasonable steps to investigate, reduce harm, secure affected systems, and notify relevant persons or authorities where required.


8. Account Security Policy

Purpose

This policy protects user accounts from unauthorised access.

Every user is responsible for keeping their account secure.

User Responsibilities

Users must:

  • Keep login details private
  • Use strong passwords
  • Avoid sharing accounts
  • Log out on shared devices
  • Report suspicious activity immediately
  • Use only their own approved account

  • Use another person’s login details
  • Share student IDs or parent IDs publicly
  • Attempt to access admin areas without permission

Security Action

New High Education may reset passwords, suspend accounts, require re-verification, or block access where suspicious activity is detected.

 

9. Content and Curriculum Policy

Purpose

This policy explains how New High Education provides educational content.

Accuracy

New High Education works to provide accurate and helpful content. However, educational content, especially AI-generated content, may contain mistakes. Students should confirm important information with teachers, textbooks, official syllabus documents, or approved learning resources.

Content may be updated, corrected, improved, removed, or replaced at any time.


10. Communication Policy

Purpose

This policy explains how New High Education communicates with users.

A user may contact New High Education to request a review of suspension or termination. New High Education’s decision will depend on the seriousness of the issue and available evidence.


13. Technology, Device, and Internet Policy

Purpose

This policy explains user responsibility for devices and internet access.

Users are responsible for having suitable internet access, compatible devices, and safe browsing habits when using the NHE Tutor App.

User Responsibilities

Users should:

  • Use updated browsers or app versions
  • Maintain safe devices
  • Avoid using public or unsafe Wi-Fi for sensitive account actions
  • Keep device passwords secure
  • Report technical problems clearly
  • Avoid installing suspicious apps or browser extensions that may compromise account security

Service Availability

New High Education will strive to keep the platform available and functional, but access may be affected by maintenance, internet outages, cloud provider issues, power outages, device issues, or events beyond our control.


14. Image, Voice, and Media Use Policy

This policy explains how images, audio, video, and other media may be used.
