1. Introduction

This Acceptable Use Policy explains how all users must use the NHE Tutor App, the New High Education website, the AI Tutor, and any related digital learning services.

New High Education is committed to providing a safe, respectful, reliable, and educational platform for students, parents, guardians, teachers, administrators, and authorised users. Every user must use the platform responsibly and in a way that protects learning, safety, privacy, and trust.

By using the NHE Tutor App or any New High Education service, you agree to follow this Acceptable Use Policy.


2. Purpose of This Policy

The purpose of this Policy is to:

  • Promote safe and responsible use of the NHE Tutor App
  • Protect students, parents, teachers, admins, and New High Education staff
  • Prevent misuse, bullying, abuse, fraud, impersonation, and harmful activity
  • Protect personal data and account security
  • Support honest learning and responsible AI use
  • Prevent disruption of the platform
  • Explain what users may and may not do when using New High Education services


3. Who This Policy Applies To

This Policy applies to every person who accesses or uses New High Education services, including:

  • Students
  • Parents and guardians
  • Teachers
  • Admins
  • Super Admins
  • Support staff
  • Visitors
  • Contractors or service providers, where applicable
  • Any other authorised user

This Policy applies whether the platform is accessed through a phone, tablet, laptop, desktop computer, school device, home device, or any other internet-connected device.


4. Services Covered by This Policy

This Policy applies to the use of:

  • NHE Tutor App
  • newhigheducation.com
  • AI Tutor feature
  • Student portal
  • Parent portal
  • Teacher portal
  • Admin dashboard
  • Super Admin dashboard
  • Registration and login systems
  • Communication channels connected to the platform
  • Support channels including email, WhatsApp, SMS, phone, and in-app messages
  • Any future New High Education digital learning service


5. General Acceptable Use

Users may use New High Education services for lawful, safe, respectful, and educational purposes.

Acceptable use includes:

  • Asking genuine educational questions
  • Using the AI Tutor for learning support
  • Revising school topics
  • Practising academic questions
  • Managing approved student, parent, teacher, or admin accounts
  • Communicating with New High Education for support
  • Reviewing learning materials
  • Supporting student progress
  • Reporting technical problems or safety concerns
  • Carrying out authorised teacher or admin duties
  • Using the platform in line with all New High Education policies

Users must use the platform in a way that respects other people and protects the learning environment.


6. Prohibited Use

Users must not use the NHE Tutor App or related services for any harmful, unlawful, dishonest, abusive, or unauthorised purpose.

Prohibited use includes:

  • Bullying, threatening, insulting, harassing, or intimidating others
  • Sending abusive, hateful, sexual, violent, or discriminatory content
  • Sharing false, misleading, or harmful information
  • Using the platform to cheat in homework, tests, assessments, or examinations
  • Attempting to hack, damage, disrupt, overload, or interfere with the platform
  • Uploading viruses, malware, spyware, or harmful files
  • Creating fake accounts
  • Impersonating another person or organisation
  • Accessing or trying to access another user’s account
  • Collecting or sharing personal data without permission
  • Using the platform for fraud, scams, theft, or illegal activity
  • Misusing the AI Tutor to generate harmful or inappropriate content
  • Sharing copyrighted materials without permission
  • Using the platform in a way that damages New High Education’s reputation or services


7. Account Use and Security

Every user is responsible for keeping their account safe.

Users must:

  • Use only their own approved account
  • Keep login details private
  • Use strong passwords where applicable
  • Keep student IDs and parent IDs secure
  • Log out after using shared or public devices
  • Report suspicious account activity immediately
  • Provide accurate registration information
  • Update contact details when necessary

Users must not:

  • Share passwords or login details
  • Allow another person to use their account
  • Use another person’s account
  • Sell, transfer, or lend an account
  • Attempt to access restricted areas without permission
  • Bypass login, verification, or security controls
  • Create multiple accounts to avoid restrictions

New High Education may suspend, reset, restrict, or terminate accounts where account misuse or suspicious activity is detected.


8. Acceptable Use of the AI Tutor

The AI Tutor must be used for learning support only.

Users may use the AI Tutor to:

  • Understand difficult topics
  • Ask subject-related questions
  • Receive step-by-step explanations
  • Practise problem-solving
  • Revise for tests and examinations
  • Improve reading, writing, reasoning, and study skills
  • Request examples and explanations
  • Support Ghana curriculum-related learning where applicable

The AI Tutor should be used to help students learn, not to replace effort, teachers, textbooks, or official academic guidance.


9. Prohibited AI Tutor Use

Users must not use the AI Tutor to:

  • Cheat in examinations, tests, homework, or assignments
  • Generate answers for submission without understanding
  • Produce threats, insults, bullying messages, or abusive content
  • Create sexual, violent, hateful, discriminatory, or exploitative content
  • Request instructions for hacking, fraud, scams, theft, or illegal conduct
  • Generate dangerous advice or unsafe instructions
  • Impersonate another person
  • Create false information about someone
  • Share private personal information unnecessarily
  • Produce content that encourages self-harm or harm to others
  • Break school rules, examination rules, New High Education policies, or Ghanaian law

New High Education may restrict AI Tutor access where misuse is detected.


10. Academic Integrity

Students must use New High Education services honestly.

Students must not:

  • Submit AI-generated answers as their own work where this is not allowed
  • Use the AI Tutor during tests or examinations where prohibited
  • Share answers to help others cheat
  • Copy explanations without understanding
  • Misrepresent copied work as original work
  • Use the platform to bypass school or teacher instructions

The platform is designed to help students understand and practise, not to encourage academic dishonesty.


11. Respectful Communication

All communication through New High Education services must be polite, safe, and appropriate.

Users must:

  • Use respectful language
  • Communicate clearly and honestly
  • Avoid insults, threats, harassment, or abusive comments
  • Avoid sending repeated unnecessary messages
  • Avoid sending inappropriate images, links, documents, or files
  • Report harmful communication when it happens

Communication channels must not be used for bullying, intimidation, fraud, spam, manipulation, grooming, or harassment.


12. Child Safety

New High Education takes child protection seriously.

Users must not:

  • Abuse, exploit, groom, threaten, harass, or manipulate a child
  • Request inappropriate personal information from a student
  • Send sexual, violent, abusive, or harmful content to a student
  • Ask a student to keep unsafe communication secret
  • Arrange improper private contact with a student
  • Share a student’s personal information without permission
  • Use platform access to target, shame, or harm a student

Any child safety concern should be reported immediately to New High Education. Serious concerns may be referred to parents, guardians, schools, child protection bodies, law enforcement, or other relevant authorities.


13. Privacy and Personal Data

Users must respect their own privacy and the privacy of others.

Users must not:

  • Share another person’s personal information without permission
  • Upload private documents that do not belong to them
  • Reveal passwords, payment details, home addresses, or private family information
  • Collect student, parent, teacher, or admin data without authorisation
  • Copy, download, or distribute user data from the platform
  • Use personal data for personal, commercial, political, or unlawful purposes

Teachers, admins, and Super Admins must access personal data only when necessary for their authorised role.


14. Content Standards

Any content submitted, uploaded, generated, or shared through the platform must be appropriate, lawful, and relevant.

Users must not submit or share content that is:

  • Abusive
  • Threatening
  • Bullying
  • Sexual or exploitative
  • Violent or graphic
  • Hateful or discriminatory
  • Fraudulent or misleading
  • Defamatory
  • Illegal
  • Unsafe or dangerous
  • Invasive of privacy
  • Harmful to children
  • Designed to damage the platform
  • In breach of copyright or intellectual property rights

New High Education may remove, restrict, or report harmful content.


15. Prohibited Technical Activity

Users must not attempt to interfere with the platform’s systems, security, or performance.

Prohibited technical activity includes:

  • Hacking or attempted hacking
  • Bypassing login or verification systems
  • Testing security weaknesses without written permission
  • Uploading malware, viruses, spyware, or harmful code
  • Scraping, copying, or extracting platform data without permission
  • Overloading the platform with excessive requests
  • Reverse engineering or copying platform software
  • Disrupting servers, databases, APIs, or cloud services
  • Using bots, scripts, automation, or tools to misuse the platform
  • Attempting to access teacher, admin, or Super Admin areas without authorisation

Such activity may lead to immediate suspension and may be reported to relevant authorities where necessary.


16. Use of Devices and Internet

Users are responsible for the devices and internet connections they use to access New High Education services.

Users should:

  • Use safe and secure devices
  • Keep devices updated where possible
  • Avoid using suspicious public networks for sensitive actions
  • Log out after using shared devices
  • Avoid installing harmful apps or browser extensions
  • Protect their device with passwords or security settings
  • Report technical problems clearly

New High Education is not responsible for problems caused by unsafe devices, weak internet, unauthorised device access, or user negligence.


17. Use of Media, Files, and Uploads

Where the platform allows uploads, users must only upload appropriate and lawful files.

Users must not upload:

  • Malware or harmful files
  • Inappropriate photos or videos
  • Sexual or exploitative content
  • Violent or abusive material
  • Private images of others without permission
  • Copyrighted materials without permission
  • False or misleading documents
  • Content that exposes or humiliates another person
  • Files that are unrelated to learning or authorised platform use

New High Education may remove uploaded content that breaches this Policy.


18. Teacher and Admin Acceptable Use

Teachers, admins, and Super Admins must use their access only for authorised duties.

They may use the platform to:

  • Support student learning
  • Manage approved accounts
  • Review relevant student information where authorised
  • Respond to support needs
  • Maintain platform safety
  • Handle administrative tasks
  • Report concerns
  • Improve educational service delivery

They must not:

  • Access student data without a valid reason
  • Share confidential information
  • Use admin access for personal purposes
  • Alter records dishonestly
  • Target or discriminate against any user
  • Contact students inappropriately
  • Misuse platform tools
  • Ignore safeguarding or security concerns

Misuse of teacher or admin access may result in immediate removal of access and further action.


19. Parent and Guardian Acceptable Use

Parents and guardians must use the platform responsibly to support student learning.

Parents and guardians may:

  • Help students register and use the platform
  • Support safe online learning
  • Contact New High Education for support
  • Report concerns
  • Help protect student login details
  • Review student-related information where authorised

Parents and guardians must not:

  • Use a student account improperly
  • Share student login details with unauthorised persons
  • Harass teachers, admins, staff, or other users
  • Submit false information
  • Misuse student data
  • Pressure students to cheat or misuse the AI Tutor


20. Monitoring and Enforcement

New High Education may monitor platform use for legitimate purposes, including:

  • Protecting students
  • Preventing misuse
  • Maintaining security
  • Improving service quality
  • Investigating complaints
  • Detecting fraud or abuse
  • Fixing technical problems
  • Ensuring compliance with this Policy

Monitoring will be handled responsibly and in line with New High Education’s Privacy Policy.

Users should not assume that misuse of the platform will go unnoticed.


21. Reporting Misuse

Users should report misuse, harmful content, security concerns, or unsafe behaviour as soon as possible.

Reports may include:

  • Bullying or harassment
  • Inappropriate AI Tutor responses
  • Suspicious account activity
  • Impersonation
  • Harmful messages
  • Data misuse
  • Technical abuse
  • Child safety concerns
  • Fraudulent activity

22. Consequences of Breaching This Policy

If a user breaches this Acceptable Use Policy, New High Education may take one or more actions, including:

  • Giving guidance or a warning
  • Removing harmful content
  • Restricting certain features
  • Resetting account access
  • Temporarily suspending the account
  • Permanently terminating access
  • Notifying a parent or guardian
  • Notifying a school, teacher, or authorised representative where appropriate
  • Refusing future registration
  • Reporting serious unlawful activity to relevant authorities

The action taken will depend on the seriousness of the breach, the user’s role, the level of risk, and whether the conduct is repeated.


23. Appeals and Review

A user may request a review if they believe an account restriction, suspension, or enforcement action was unfair.

Students are encouraged to ask a parent, guardian, teacher, or authorised New High Education representative for help if they do not understand any part of this Policy.
