1. Introduction
This Parent and Guardian Policy explains the role, responsibilities, rights, and expectations of parents and guardians who support students using the NHE Tutor App, the New High Education website, the AI Tutor, and any related learning service.
New High Education recognises that parents and guardians play an important role in a student’s education, online safety, discipline, learning progress, and responsible use of digital tools.
By registering as a parent or guardian, linking to a student account, making payment for a student, communicating with New High Education, or supporting a student’s use of the platform, you agree to follow this Policy.
2. Purpose of This Policy
The purpose of this Policy is to:
- Explain the role of parents and guardians in the NHE Tutor App
- Support safe and responsible student use of the platform
- Protect student privacy and personal data
- Guide parents and guardians on account registration and verification
- Explain parent and guardian communication responsibilities
- Support proper use of the AI Tutor
- Clarify payment and access responsibilities
- Promote respectful partnership between parents, students, teachers, admins, and New High Education
3. Who This Policy Applies To
This Policy applies to:
- Parents
- Guardians
- Caregivers
- Sponsors
- Family representatives authorised to support a student
- Any adult approved by New High Education to manage or support a student account
Where this Policy refers to “parent” or “guardian”, it includes any authorised adult who has responsibility for a student’s learning support, account access, safety, or payment arrangements.
4. Parent and Guardian Role
Parents and guardians are expected to help students use the NHE Tutor App safely, honestly, and effectively.
Parents and guardians may support students by:
- Helping with registration
- Providing accurate student details
- Making offline payments where required
- Keeping student account details secure
- Encouraging regular learning
- Monitoring younger students where appropriate
- Helping students understand AI Tutor responses
- Encouraging academic honesty
- Reporting concerns to New High Education
- Supporting safe online behaviour
Parents and guardians should guide students to use the platform as a learning support tool, not as a shortcut for cheating or avoiding personal effort.
5. Parent and Guardian Registration
New High Education may require parents or guardians to register before accessing parent-related features.
Registration information may include:
- Full name
- Email address
- Ghana mobile number
- Relationship to the student
- Student name
- Student ID, where available
- Parent or guardian identification details, where required
- Any other information reasonably needed for verification
New High Education may refuse or delay registration where information is incomplete, inaccurate, unverifiable, or suspicious.
6. Parent ID
Approved parents or guardians may be issued a unique Parent ID in the format:
NHEPXXXX
The Parent ID may be used for:
- Parent login
- Student account linking
- Support requests
- Payment verification
- Communication with New High Education
- Identity confirmation
Parents and guardians must keep their Parent ID secure and must not share it with unauthorised persons.
7. Student Account Linking
A parent or guardian account may be linked to one or more student accounts where approved by New High Education.
Before linking a parent or guardian to a student account, New High Education may verify:
- The parent or guardian’s identity
- Relationship to the student
- Student details
- Contact information
- Payment or registration records
- Any other information needed to prevent unauthorised access
New High Education may refuse to link an account where there is uncertainty, conflict, suspicious activity, or insufficient verification.
8. Parent Access to Student Information
Where approved, parents or guardians may be allowed to access limited student-related information.
This may include:
- Student account status
- Student access level
- Linked student details
- Payment or subscription status
- Learning participation information
- Support messages
- Safety or conduct notices
- General progress indicators, where available
Parent access may be limited to protect student privacy, platform safety, and educational integrity.
New High Education may restrict access to certain information where disclosure may not be appropriate, lawful, or in the best interest of the student.
9. Student Privacy
New High Education respects student privacy.
Parents and guardians may support and guide students, but they should also respect the student’s dignity, learning independence, and privacy.
Parents and guardians must not:
- Share student login details with unauthorised persons
- Publish student learning records without permission
- Use student information to embarrass, shame, threaten, or punish the student unfairly
- Demand access to information in a way that may put the student at risk
- Share screenshots of student activity publicly
- Misuse student data for personal, commercial, political, or unlawful purposes
New High Education may handle student data in accordance with its Privacy Policy and applicable data protection requirements in Ghana.
10. Supporting Safe Online Learning
Parents and guardians should help students develop safe online habits.
This includes encouraging students to:
- Keep passwords private
- Avoid sharing personal information unnecessarily
- Report bullying, threats, or inappropriate content
- Avoid clicking suspicious links
- Use the AI Tutor for learning only
- Avoid communicating with strangers outside approved channels
- Log out after using shared devices
- Tell a trusted adult if something makes them uncomfortable
Parents and guardians should supervise younger students more closely when using online learning tools.
11. Responsible Use of the AI Tutor
Parents and guardians should help students understand that the AI Tutor is a learning support tool, not a replacement for teachers, textbooks, school lessons, or personal effort.
Parents and guardians should encourage students to:
- Ask genuine learning questions
- Read and understand AI Tutor explanations
- Ask follow-up questions when confused
- Practise similar questions independently
- Use AI responses to learn, not to copy
- Confirm important answers with teachers or trusted materials
- Avoid entering unnecessary private information
Parents and guardians should discourage students from using the AI Tutor to cheat, copy assignments, generate harmful content, or break school rules.
12. Academic Honesty
Parents and guardians should support academic honesty.
They should not encourage or assist students to:
- Submit AI-generated work as their own where this is not allowed
- Use the AI Tutor during tests or examinations where prohibited
- Copy answers without understanding
- Share answers with other students dishonestly
- Mislead teachers, schools, or New High Education
The purpose of the NHE Tutor App is to help students understand and improve, not to replace genuine learning.
13. Parent and Guardian Communication
Parents and guardians must communicate with New High Education respectfully and honestly.
Approved communication channels may include:
- Telephone
- SMS
- In-app messages
- Parent portal messages
- Website contact forms
Parents and guardians must not:
- Abuse, threaten, insult, or harass New High Education staff
- Send repeated unnecessary messages
- Provide false information
- Make malicious complaints
- Use offensive or discriminatory language
- Pressure staff or admins to break policy
- Contact teachers, students, or admins inappropriately
New High Education may restrict communication where a parent or guardian misuses support channels.
14. Parent and Guardian Responsibilities for Payments
Where a parent, guardian, sponsor, school, or family representative pays for a student’s access, they are responsible for following the New High Education Payment and Refund Policy.
Parents and guardians must ensure that:
- Payments are made only to official New High Education payment channels
- They do not enter payment details on the website or app
- Payment is made offline by approved Mobile Money or bank transfer methods
- Correct student details are included with payment
- Proof of payment is submitted where required
- Renewal payments are made on time where continued access is needed
- Refund requests are submitted properly with evidence
New High Education does not currently process payments on the website or inside the app.
15. Account Security Responsibilities
Parents and guardians must help protect both parent and student accounts.
They should:
- Keep Parent IDs secure
- Help students keep Student IDs secure
- Use safe passwords where applicable
- Avoid sharing login details
- Log out on shared devices
- Report suspicious activity immediately
- Ensure only authorised persons access student or parent accounts
Parents and guardians must not use student accounts improperly or allow unauthorised people to access student accounts.
16. Reporting Concerns
Parents and guardians should report concerns promptly.
Concerns may include:
- Student account access problems
- Suspicious login activity
- Bullying or cyberbullying
- Inappropriate AI Tutor responses
- Unsafe online behaviour
- Payment issues
- Incorrect student information
- Misuse of student data
- Teacher, admin, or user misconduct
- Child protection concerns
- Technical problems

17. Child Protection and Safeguarding
Parents and guardians are important partners in protecting students from harm.
Parents and guardians should immediately report any concern involving:
- Abuse
- Exploitation
- Grooming
- Threats
- Bullying
- Harassment
- Inappropriate communication
- Unsafe contact
- Inappropriate images, videos, or messages
- A student expressing fear, distress, or risk of harm
If a child is in immediate danger, parents and guardians should contact the appropriate emergency services, police, child protection authority, school authority, or trusted local adult immediately.
New High Education may take action to protect students, including restricting accounts, reviewing activity, contacting parents or guardians, or referring serious concerns to appropriate authorities.
18. Parent Behaviour Towards Students
Parents and guardians should use student learning information responsibly and supportively.
Parents and guardians should not use student progress, mistakes, AI Tutor history, or account information to:
- Humiliate the student
- Threaten the student
- Publicly shame the student
- Punish the student unfairly
- Compare the student negatively with others
- Discourage the student from learning
- Pressure the student into cheating
- Force the student to misuse the platform
New High Education encourages parents and guardians to use the platform as a tool for encouragement, guidance, and positive learning support.
19. Use of Student Media and Personal Information
Parents and guardians must not upload, publish, or share student images, audio, video, documents, or personal information through the platform unless they have the right to do so and it is appropriate.
Parents and guardians must not submit:
- Inappropriate images or videos
- Private information about another child
- False documents
- Misleading identity information
- Sensitive information that is not necessary
- Content that may embarrass or expose a student
- Copyrighted material without permission
New High Education may remove media or information that breaches its policies.
20. Multiple Guardians or Family Disputes
Where more than one adult claims responsibility for a student, New High Education may require additional verification before granting or changing access.
In cases involving custody disputes, family conflict, or disagreement over account access, New High Education may:
- Restrict account changes temporarily
- Request written evidence
- Require confirmation from the registered parent or guardian
- Limit access until the matter is clarified
- Refuse to take sides in private family disputes
New High Education’s priority will be the student’s safety, privacy, and lawful access.
21. False or Misleading Information
Parents and guardians must provide accurate information.
They must not:
- Register under a false identity
- Claim to be a student’s parent or guardian without authority
- Submit false payment evidence
- Provide false contact details
- Misrepresent a student’s identity
- Use another person’s information without permission
New High Education may suspend or refuse access where false or misleading information is discovered.
22. Suspension or Restriction of Parent Access
New High Education may suspend, restrict, or terminate parent or guardian access where necessary.
Reasons may include:
- Misuse of the parent account
- False registration information
- Harassment or abuse of staff
- Misuse of student data
- Attempted unauthorised access
- Failure to verify identity
- Child safety concerns
- Payment fraud
- Breach of New High Education policies
- Conduct that may harm the student or the platform
Where appropriate, New High Education may notify the affected student, another authorised guardian, school, or relevant authority.
23. Requests for Correction or Deletion of Student Data
Parents and guardians may request correction of inaccurate student information.
They may also request deletion of student data, subject to:
- Identity verification
- Student account status
- Legal or administrative requirements
- Payment or access records
- Safeguarding obligations
- Any records New High Education must retain for legitimate reasons
Requests should be sent to:
New High Education will review such requests in line with its Privacy Policy and data protection obligations.

This Parent and Guardian Policy should be read together with:

Updated versions may be posted on the website, app, dashboard, or other official communication channels.
Continued use of the NHE Tutor App or parent services after updates are posted means that the parent or guardian accepts the updated Policy.

27. Acceptance of This Policy
By registering as a parent or guardian, linking to a student account, making payment for a student, communicating with New High Education, or supporting a student’s use of the NHE Tutor App, the parent or guardian confirms that they have read, understood, and agreed to this Parent and Guardian Policy.
